Privacy Policy

CalScribe (“CalScribe,” “we,” “us,” or “our”) is a service that turns children’s activity schedules into calendar events. It is operated by Lisa Rickles as an individual. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. By using CalScribe, you agree to this policy.

Information we collect

  • Your Google account details. When you sign in with Google, we receive your name, email address, and profile picture so we can create and identify your account.
  • Permission to use your Google Calendar.With your consent, Google gives us a secure access token that lets CalScribe show you your list of calendars and add events you approve. We store this token so you don’t have to reconnect every visit.
  • The schedules you submit. The schedule text you type and any photo or PDF you upload, so the service can read them and suggest calendar events.
  • Your settings. Preferences such as your chosen default calendar and event title prefix.
  • Basic usage information.A monthly count of how many schedules you’ve processed (to apply usage limits) and timestamps of key steps you take in the app (for example, signing in or adding events) so we can understand how the product is working and improve it.

How we use your information

  • To read your schedules and suggest calendar events.
  • To show you your Google calendars and add the events you approve to the calendar you choose.
  • To maintain your account, settings, and usage allowance.
  • To operate, secure, troubleshoot, and improve the service, and to contact you about it if needed.

We do not sell your personal information, and we do not use it for advertising.

How your Google Calendar data is used

CalScribe requests permission to manage your calendars so it can (1) display your list of calendars for you to choose from, and (2) add the specific events you approve on the review screen. We add events only after you confirm them. We do not use your calendar access to read, analyze, or delete your existing calendar events.

CalScribe’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How the schedules you submit are handled

To read a schedule, we securely send its text and any uploaded photo or PDF to our artificial-intelligence provider, Anthropic (the maker of Claude), which processes it and returns the suggested events. Anthropic does not use data submitted through its business API to train its models.

The uploaded photo or PDF is held only for the moments it takes to process, then automatically deleted from our servers. We do not keep copies of your uploaded files or of the extracted events; the events live only in your browser during review and, once you approve them, in your chosen calendar.

Who we share information with

We share information only with the service providers that make CalScribe work, and only as needed:

  • Google— to sign you in and to add your approved events to your calendar.
  • Anthropic— to read your submitted schedules, as described above.
  • Vercel— our website hosting provider.
  • Neon— our database provider, which stores your account, settings, and usage information.

We may also disclose information if required by law, or to protect the rights, safety, and security of our users and the service.

How long we keep your information

We keep your account information, settings, calendar-connection token, and usage records for as long as your account is active. Uploaded files are deleted right after processing, as described above. If you disconnect Google or ask us to delete your account, we remove your stored information (see below).

Your choices and rights

  • Disconnect Google.You can revoke CalScribe’s access to your Google account at any time from your Google Account permissions page.
  • Delete your account and data. Email us at hello@calscribe.com and we will delete your stored information.
  • Access or correct your information. Contact us and we will help.

Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA) or the EU General Data Protection Regulation (GDPR). Contact us to exercise them.

Children’s privacy

CalScribe is intended for use by parents and other adults. It is not directed to children, and we do not knowingly collect personal information from children. Although the schedules you enter may describe children’s activities, we treat that content as your information, not the child’s.

Security

We use reputable providers and industry-standard measures to protect your information, including encrypted connections and access controls. No method of transmission or storage is completely secure, but we work to protect your information and to respond promptly to any issues.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the “Last updated” date above, and significant changes will be reflected on this page.
